Privacy policy.

What we collect, why we collect it, how long we keep it and how to have it removed. Written to be read rather than skimmed past.

What we collect and why

Enquiry data: your name, email address, the desk you selected and the message you send. We use it to answer you and to keep a record of what was agreed.

Project data: manuscript files, correspondence, scope documents, invoices and delivery records for authors we work with. We use it to carry out the work and to meet accounting obligations.

Account data: the email address you register with, your verified status and the role you selected. We use it to give you access to the client portal and community areas.

Site measurement: anonymous page and event measurement through Google Analytics 4, and only after you accept analytics cookies.

Lawful bases

Contract: processing needed to quote for, deliver and invoice a project you asked us to carry out.

Legitimate interests: answering enquiries, protecting the site from abuse, and keeping records of decisions taken on a project.

Consent: analytics cookies and our quarterly insight letter. You may withdraw consent at any time without affecting any work in progress.

Legal obligation: retention of financial and contractual records where law requires it.

How long we keep data

Enquiries that do not become projects: up to twenty-four months, then deleted.

Manuscripts and drafts: for the life of the engagement and twelve months afterwards, unless you ask us to delete them sooner and no contract requires retention.

Contracts, invoices and royalty records: for the period required by United States accounting and tax rules.

Newsletter records: until you unsubscribe, plus a suppression record so we do not contact you again by mistake.

Who can see your data

Named colleagues working on your project, and contracted translators, editors or narrators who are bound by written confidentiality terms.

Service providers who host the site, database and email delivery on our behalf, under data processing terms.

Nobody else. We do not sell, rent, trade or licence personal data, and we do not share manuscripts for marketing purposes.

International transfers

We are a United States company working with authors and partners internationally, so data may be processed in the United States and in the country of a contracted contributor.

Where data leaves the United Kingdom or European Economic Area we rely on standard contractual clauses and keep the transfer limited to what the work requires.

Your rights

You may ask for a copy of the data we hold, ask us to correct it, ask us to delete it where no contract or law requires us to keep it, object to processing based on legitimate interests, or ask us to restrict processing while a dispute is resolved.

Write to us and we will respond within thirty days. If we cannot act on a request we will say why in plain language rather than refusing without explanation.

Security

The site is served over HTTPS. Portal access is credential-based with email verification and session expiry, and manuscript files are exchanged through access-controlled links rather than public storage.

Access is removed when a project closes or when a contributor's involvement ends.
